Job Description

Main functions

  • Prioritise work to ensure that deadlines and targets are met within the appropriate time scales.
  • Deal with confidential and sensitive information appropriately.
  • Plan and organise the Head of Property’s diary to make efficient use of time.
  • Inform attendees of forthcoming meetings and prepare agendas as necessary.
  • Maintain filing systems both electronic & paper and to ensure that Head of Property’s office always runs efficiently.
  • Liaising with internal and external stakeholders as required.
  • Deal with incoming post on behalf of the Head of Property’s (including Private and Confidential) on direction and in the absence of the Head of Property’s.
  • Lease management (review, summary, filing etc)
  • Produce reports detailing service charge budgeting
  • Produce Purchase orders following department policy
  • Verbal and written communication and consultation with residents and leaseholders as and when required.
  • Ensure that KPIs are met in line with service level agreements etc
  • Reconcile monthly expenses on behalf of the Head of
  • Property’s and forward for his signature before passing for authorisation and payment
  • Any other office related tasks to include photocopying, faxing, post, registered mail.
