Personal Assistant (Planning & Development) 

Hours of work: 40 per week, 08:30am - 17:30pm Monday to Friday

Location of role: Head Office, Canary Wharf (5 days on-site)

Contract: Permanent

Salary: Competitive, to be discussed during application process

About the role..

A pivotal role providing a high level of personal assistance to the Managing Director, Development (MD, D) in a fast-paced environment. In role, the successful candidate would: 

  • Plan and organise diaries to make efficient use of time.
  • Deal with telephone enquiries on behalf of the MD, D as necessary and any associated follow up.
  • Deal with email correspondence and replies of MD, D, as necessary, keeping them updated with current issues.
  • Assist with conference schedules, day to day travel planning and arrangements, ticket and hotel bookings.
  • Liaise with conference organisers and provide profile statements, presentations and photos.
  • Assist with the production and updating of reports and presentations for the MD, D as directed.
  • Regular liaison with both internal and external stakeholders at all levels, inclusive of JV partners, local and national government
  • Support with office related tasks including photocopying, printing, binding, and post.
  • Meet and greet visitors at all levels of seniority
  • Inform attendees of forthcoming meetings and prepare agendas as necessary, completing minutes where required
  • Manage expense claims and maintain accurate financial records 

Must have skills..

  • Excellent communication skills (both verbal/written) achieved whilst supporting a senior level team.
  • Confident communication with external stakeholders, including with JV partners, local government and national government.
  • Experience in the preparation and editing of board papers and associated documents.
  • Experience of reviewing budgets and identifying variances.
  • Excellent interpersonal skills to be able to liaise effectively at all levels, internal and external parties.
  • Excellent organisational and administrative skills.
  • Knowledge of utilising AI tools
  • Excellent attention to detail, flexible, adaptable and prepared to be ‘hands on’.
  • Experience of producing effective minutes and agendas.
