Head of Property - Permanent, Canary Wharf
Hours of work: 40 per week, Monday to Friday
Key responsibilities
- Design, implement and develop strategies to ensure the developments are managed and maintained to the highest standard.
- Working closely with the Property Directors and Property Managers to ensure they meet the business objectives and maintain positive relationships with their Resident Associations, leaseholders and residence.
- Communicate and implement changes to improve overall business performance and ensure adherence.
- Lead by example, taking personal pride in everything that you do.
- Monitoring consistent execution of all operational policies and procedures and recommend changes to improve overall functionality of business.
- Work hard to develop trusted working relationships.
- Operate within all relevant laws, legislation and obligations applicable to our sector. To have an understanding of the Landlord & Tenant Act 1985 & Building Safety Act 2022 legislation, health & safety and employment legislation, as well as obligations covered under the leases and management agreements.
Whilst in role, you will have direct accountability for:
- Assigning, overseeing and managing projects as discussed and agreed with the Senior Management Team.
- Ensuring Best Practices are shared across the portfolio to ensure efficiency and alignment.
- Monitoring compliance with Governance structure and make recommendations and suggestions where required to improve the overall performance of the business.
- Assuming full ownership and responsibility for the annual service charge budget process. Work with the Property Directors and client accountant to ensure careful preparation of the budgets and present and seek sign off in accordance with the budget process.
- Overseeing and approving annual certified accounts working with the accounting team for review and presentation. Ensure presentation to Residents Associations and issue to leaseholders.
- Assisting with Lifecycle Costing and PPM plans together with the Property teams and Facilities Department.
- Have a good and demonstrable understanding of the relevant legislation applicable to residential and commercial property management. Ensure compliance with all relevant laws, legislation, Codes of Practice and obligations applicable to our sector. To include Landlord & Tenant Act 1985 legislation, health & safety and employment legislation, as well as awareness and accountability of obligations covered under the leases and management agreements.
- Ensuring compliance with s.20 Landlord & Tenant Act 1985 and prepare relevant consultation notices for issuing by BAML administration as required. Taking responsibility for timely issue of all-relevant notices, collation of observations and responses to leaseholders. Seeking assistance from BAML legal team as required.
- Adhering to the Obligations under the management agreement and RICS code of Practice.
- Managing and regularly reviewing lease compliance, infringements and management framework agreements as part of our obligations under the Tenant and Landlord Act 1985.
- Supporting the legal team and/or external Solicitors with County Court Claims or FTT cases as required, providing evidence, if necessary, in a timely manner.
- Reporting all legal and enforcement notices received immediately to the legal team for appropriate action to be taken or advised upon.
- Providing leadership, coaching, guidance, support and encouragement to your people and teams and BAML support of staff.
- Ensuring that the Property Directors and Managers have the knowledge, skill and support to successfully manage their people and teams within the required KPI’s and SLA’s.
- Developing succession plans to support the longer-term growth of our people and business.
The successful candidate will:
- Have a strong track record of working collaboratively, diplomatically and effectively with a wide range of people.
- Strong Leadership skills that have been developed in a management environment.
- Knowledge of landlord and tenant & building safety legislation and associated regulations.
- Extensive experience of leading both in house and externally contracted services in a complex multi-site environment.
- Experience of using websites and web portals for communication and record keeping.
- Knowledge and experience of front of house and leisure & fitness operations.
- Ability to execute and implement strategic and tactical plans.
- Ability to drive organisational and cultural change to create a sense of community.
- The correct approach to energise and encourage others to collaborate effectively while motivating and managing the abilities of the team.
- Demonstrate good practice and knowledge of property management, facilities management and health and safety compliance.
- MTPI and/or RICS qualified
